TITLE: Office Manager / Director of Student Services
REPORTS TO: Executive Director
JOB REQUIREMENTS: Associate Degree in Office Technology or Executive Assistant or comparable specialty, experience managing an office environment in a professional manner or at least 5 years in a similar work environment.
ADMINISTRATIVE DUTIES:
- Communicate with Executive Director so that the office and activities operate efficiently.
- Coordinate day-to-day office communication devices (e.g., smartphones, laptops, videoconferencing, and wearables), office schedule and activities: mail, e-mail, phone, and fax.
- Verify technology in working order and arrange repairs and maintenance.
- Manage other workers, i.e., clerks, cleaning service, and volunteers.
- Maintain administrative files and databases.
- Coordinate needs and requirements for meetings, educational workshops, and seminars.
- Coordinate scheduling of public, non-credit courses.
- Market and promote courses and programming.
- All other tasks assigned by Executive Director
STUDENT SERVICES DUTIES:
- Coordinate scheduling of course offerings with colleges, universities, and other providers.
- Generate and distribute press releases.
- Provide education and career counseling.
- Interview candidates for personal enrichment instructors.
- Assist students with Financial Aid – FAFSA, PHEAA, etc.
- Proctor exams for students enrolled in online college courses.
SKILLS REQUIRED:
- Knowledge of Microsoft Office products: Excel, Word, Outlook, PowerPoint, Publisher, and CoPilot, in addition to Adobe Creative Cloud and Google.
- Proficient in use of Internet, sending and receiving e-mail.
- Excellent keyboarding skills.
- Experience in using and coordinating online meeting platforms (e.g., Zoom, Teams, etc.).
- Excellent phone skills.
- Excellent grammar and proofreading skills.
- Ability to work independently and in teams.
- Excellent organizational, interpersonal, time management, and customer services skills.
- Exhibits resourcefulness and problem-solving skills.
- Experience or knowledge of website maintenance.
